GISMA Business School will collect the following personal information – name, contact details, date of birth, work details, financial data and information relating to individual requirements.  

Special category personal information is also collected in the form of equality monitoring data

When individuals use our facilities, enrol on our courses and events GISMA Business School has to collect, store, use and otherwise process personal data for purposes connected to:

  • Provision of support services/Operational purposes, including but not limited to, provide you with our services and other information, including your use of our website, to respond to any query you have made of us, including providing information about our people and services where you have made a website inquiry; (Legal basis – necessary for the performance of the contract)
  • Course delivery (Legal basis - necessary for the performance of the contract)
  • To keep you informed of news, courses and events (Legal basis – with your consent*/where there is a legitimate interest**)
  • For the safety and security (Legal basis – legitimate interest) 

*Where an individual has indicated that they would like to receive further information from GISMA Business School, this information is processed with their consent.  

** GISMA Business School holds basic contact details of professionals working in businesses who could have an interest in the services and facilities available within GISMA Business School and ‘GUS’.  This information is processed on the basis that it is necessary for the legitimate interests of GISMA Business School’s Commercial Services Department and that the processing could be of mutual benefit to all parties.  

Where necessary personal information will be shared internally with individuals who need access to the information for operational purposes.  Such sharing will be subject to confidentiality protocols and access restrictions.

In certain circumstances, GISMA Business School may use the services of a third party to process data on its behalf. Any organisation processing personal data on our behalf will be bound by obligations to process personal data in accordance with data protection legislation.  

Personal data will be stored in line with our retention schedule.  

GISMA Business School retain your personal information for only as long as necessary to fulfil the purposes for which we collected it, including for the purposes of satisfying any legal, or reporting requirements.

To determine the appropriate retention period for personal data, we consider the amount, nature, and sensitivity of the personal data, the potential risk of harm from unauthorised use or disclosure of your personal data, the purposes for which we process your personal data and whether we can achieve those purposes through other means, and the applicable legal requirements.  A copy of our retention schedule can be made available by contacting privacyprotection@gisma.com

Data Protection legislation requires us to keep your information secure. This means that your confidentiality will be respected, and all appropriate organisational and technical measures will be taken to prevent unauthorised access and disclosure.

Only members of staff who need access to relevant parts or all your information will be authorised to do so, and regular trainings regarding their obligations in ensuring the security of your personal data provided.

We also have procedures to deal with any suspected data security breach and will notify you and any applicable regulator of a suspected breach where we are legally required to do so. 

Personal data, where possible will be processed within the European Economic Area.  However, in certain circumstances there may be a necessity to transfer your data outside the EU.  

In certain circumstances, GISMA Business School may use the services of a third party to process data on its behalf.  Any organisation processing personal data on our behalf will be bound by obligations to process personal data in accordance with data protection legislation. 

Some of our third party service providers are also based outside the EU, for example, India.

Where a processor is based in the US, data may be transferred to them if they are part of the Privacy Shield framework and are thus compliant with data protection requirements.

However, to ensure that your personal information does receive an adequate level of protection we have put in place contractual obligations to ensure that your personal information is treated by those third parties in a way that is consistent with and which respects European Union and local laws on data protection.

What we do with the information
